Privacy Policy
How we handle personal information submitted through this website, and the rights you have over it.

Who we are
This policy explains how personal information is used when you visit this website or send us an enquiry. It applies to information handled by Safety Consistent Services Ltd (trading as Safety Consistent Services), the “data controller” for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Safety Consistent Services Ltd is a company registered in England and Wales, company number 12345678. Our registered office is 24 Example Street, London, EC1A 1BB.
If you have any questions about this policy or how we use your information, contact us at privacy@safetyconsistentservices.co.uk or write to us at the address above.
The personal information we collect
Information you give us
When you complete the consultation form on our Contact page, we collect:
- your first and last name;
- your email address and telephone number; and
- the message you write, which may include details about your property, your energy use or your plans.
We also receive personal information if you email or telephone us. Please do not include sensitive information, such as health details or payment card numbers, in your message.
Information collected automatically
- Technical data. Like most websites, our web server receives your IP address and basic request details when you load a page. Our hosting provider may keep these in server logs.
- Form protection. To limit spam and abuse, our form handler uses a temporary security token held in a session cookie and counts recent submissions from each IP address. The count is kept in a short-lived file named using a one-way hash of the address, and contains only timestamps.
We do not use analytics or advertising tracking on this website. See our Cookie Policy.
How we use your information and our lawful bases
We must have a lawful basis under UK GDPR for each way we use personal information. The table sets out what we do and the basis we rely on.
| Purpose | Information | Lawful basis |
|---|---|---|
| Responding to your enquiry and arranging a consultation | Name, email, telephone, message | Taking steps at your request before entering a contract, and our legitimate interests in responding to enquiries about our services |
| Preparing a recommendation or quotation and, if you proceed, delivering the agreed service | Contact details and project information | Performance of a contract, or steps prior to a contract |
| Keeping the website secure and preventing spam and abuse | IP address (hashed for rate limiting), request details | Our legitimate interests in protecting our website and business |
| Meeting legal and regulatory obligations, and establishing or defending legal claims | As required | Legal obligation, or our legitimate interests |
Where we rely on legitimate interests, we consider whether those interests are outweighed by your rights and freedoms, and we do not use your information in ways you would not reasonably expect.
We do not make decisions about you by automated means that have legal or similarly significant effects. The consultation form does not sign you up to marketing. We use your details only to deal with your enquiry. If we later wish to send you marketing, we will do so only where the law allows, and you will always be able to opt out.
Who we share your information with
We use service providers who process personal information on our behalf, under written terms, to help run this website and our business. They include the provider that hosts this website and the provider that supplies our email service. They may only use your information to provide their services to us.
We may also disclose personal information to professional advisers, insurers, or to regulators, law enforcement or other public authorities where we are legally required to do so or need to protect our rights. We do not sell your personal information.
If your project requires it, we may share limited details with third parties, for example your Distribution Network Operator for a grid connection. We will tell you before doing so.
International transfers
We aim to keep personal information in the United Kingdom. If any of our service providers process information outside the UK, we will make sure the transfer is protected by an appropriate safeguard recognised under UK data protection law, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum. You can ask us for more information using the contact details below.
How long we keep your information
We keep enquiry details only for as long as we need them to deal with your enquiry and any resulting project, and for a reasonable period afterwards to answer follow-up questions and to deal with any complaint or legal claim. Where an enquiry leads to a contract, we keep the records we are legally required to keep, for example for tax and accounting purposes. When we no longer need personal information, we delete or anonymise it.
How we protect your information
We use measures appropriate to the risk, including encrypted connections (HTTPS), validation and escaping of submitted data, protection against cross-site request forgery and security headers. No internet transmission is completely secure, so please take care about what you send us.
If there is a personal data breach that is likely to result in a risk to your rights and freedoms, we will report it to the Information Commissioner’s Office and, where required, tell you.
Your rights
Under UK data protection law you have rights in relation to your personal information. You may ask us to:
- confirm whether we hold your information and give you a copy (the right of access);
- correct information that is inaccurate or incomplete;
- erase your information in certain circumstances;
- restrict how we use your information in certain circumstances;
- give you your information in a portable format, where the right applies; and
- stop using your information where we rely on legitimate interests and you object.
Where we rely on your consent, you may withdraw it at any time. To use any of these rights, contact us at privacy@safetyconsistentservices.co.uk. We may need to verify your identity, and we will normally respond within one month. These rights are not absolute, and we will explain if one does not apply.
